- To maintain security, prevent fraud and resolve technical problems.
- To keep financial, tax and business records required by law.

Depending on the activity, we rely on steps requested before a contract, performance of a contract, legal obligations, legitimate interests in operating and securing our business, or consent.
4. Who receives information?
We use service providers where necessary to operate WorkflowHQ, including Stripe for payments; Hostinger and n8n for hosting and automation; Google services for business records and calendars; OpenAI for configured AI processing; and email providers for customer communications.
Providers receive only the information needed for their role and process it under their own terms and applicable data-protection obligations. We may also disclose information where required by law or to establish, exercise or defend legal claims.
5. International processing
Some providers may process information outside the United Kingdom. Where required, we use recognised safeguards or rely on providers that offer an applicable lawful transfer mechanism.
6. How long we keep information
We keep order and accounting records for the period required by UK tax and legal rules, normally up to six years after the relevant financial year. Enquiries that do not become customers are normally deleted or anonymised within 24 months. Operational and support records are kept only as long as reasonably needed for delivery, security and dispute handling.
7. Your rights
Depending on the circumstances, you may ask for access to your information, correction, deletion, restriction, portability or an objection to certain processing. Where processing is based on consent, you may withdraw it at any time.
Contact info@workflowhq.co.uk to exercise a right. We may need to verify your identity.
8. Complaints
Please contact us first so we can try to resolve your concern. You may also complain to the UK Information Commissioner’s Office at ico.org.uk.
